    Our building is exploring the possibility of moving to a locked-entry model for security and operational efficiency, and I'm hoping to learn how others manage this.

    If your organization has locked exterior doors, I'd like to hear how you handle the following:
    • Staff entry (badge access, key fobs, etc.)
    • Employees who forget their badges
    • Vendor access for scheduled services
    • Daily courier deliveries (Amazon, FedEx, UPS, Staples, etc.)
    • Visitor check-in or guest access
    • Overall security monitoring (reception desk, video intercom, facilities team, etc.)

    We're particularly interested in understanding what systems or processes work well and any lessons learned along the way.

    good morning

    Staff Access:
    Employees enter the building using Brivo door‑access badges, which are managed through an online system.

    Forgotten Badges:
    If an employee forgets their badge, they must check out a temporary guest access badge from the front desk in the main lobby.

    Vendors & Deliveries:
    All vendors and delivery personnel must enter through the main front door.

    Department Notifications:
    Departments are responsible for notifying the front desk when they are expecting a visitor or vendor.

    Do you have a full time front desk assistant? 

    For vendors & deliveries, do they have a form of access if the front doors are locked?

    Christi - We use a bio-metric system which reads our fingerprint.  Therefore no badges to worry about or replace.  At our HQ building, we also use a system called Greetly by OfficeSpace for visitors and vendors.  When a visitor/vendor enters their details into the ipad in our vestibule, it sends an email, text message and phone call to the team member to let them know they have a visitor waiting.

    I will have to check into Greetly. How do vendors and deliveries enter your building when staff use the bio-metric system?

    We have a lobby and reception desk that we are looking to move away from staffing.

    Our human receptionist retired a couple of years ago and was not replaced, so we moved to the Greetly system.  We keep the main entrance door unlocked between 8am and 5pm. But we keep the vestibule door (that enters into the reception lobby) locked at all times.   The Greetly system is in the vestibule and we have an ATM/ITM in the vestibule too for staff and anyone else who wants to use it.  When visitors arrive they use the Greetly system in the vestibule and the system contacts the relevant team member.  It also prints out a badge for the visitor/vendor to wear if they are going to be on site.

     

    Vendors can deliver through our front entrance or through our loading dock.  We have a Greetly iPad down there too.

    One approach that has worked well in many facilities is to keep the exterior/front door unlocked during business hours, but have it lead into a small, controlled lobby rather than directly into the administrative office space.

    The lobby essentially acts as a security buffer zone. Visitors enter the lobby freely, but they cannot access the administrative office until they pass through a second secure door that is controlled by staff.

    When designing the lobby, it can be helpful to size it so it supports several functions:

    • Visitor waiting area with 2–4 seats

    • A small workstation for administrative or facilities staff

    • Space for deliveries and couriers so packages can be received without granting access to the secured office area

    • Visitor check-in using visitor management software if applicable

    This approach maintains a welcoming environment while still providing a controlled access point for the office.

    A few additional considerations that can improve the experience and security:

    • Doorbell camera or video intercom at the secure door so staff can communicate with visitors before granting access.

    • Background music in the lobby, which can help create a more comfortable and professional environment for visitors.

    • Flexible staffing: if a facilities or administrative staff member is not always stationed at the lobby workstation, the doorbell camera/video system allows someone elsewhere in the building to assist visitors when needed.

    Overall, this configuration balances security, customer experience, and operational flexibility without creating the perception that the organization is "closed off" during business hours.

    Thank you, Micah, for your thoughts. We likely won't be redesigning our front entry. We have a vestibule which could act like a waiting area but it's small and not an inviting space for visitors. However, it could be an area to create some space for delivery drop-offs.

    Hi Christie,

     

    We have this at our sites.

    • Staff entry - Badge access for entry only doors, with some being exit only doors.

    • Employees who forget their badges – we have a doorbell at our delivery door where an employee can request a one-day temporary badge.

    • Vendor access for scheduled services – vendors use the same doorbell and are signed in if they are going to be in the building.

    • Daily courier deliveries (Amazon, FedEx, UPS, Staples, etc.) – delivery door, this area is monitored by our Support Services (SS) team with video and speaker available at the door.

    • Visitor check-in or guest access, managed at the entry point by SS, signed in and only the responsible department can take the visitor past the entry point.

    • Overall security monitoring (reception desk, video intercom, facilities team, etc.) – we have a security team that has access to all cameras, we do have cameras throughout all the buildings, at all locations.

    Hi Richard! 

    Thank you for your response. 

    I'm trying to remove staffing the front reception desk, which is our main point of entry. I currently don't have a side entrance to separate for deliveries or vendor access. 

    A few things I'm considering are:

    • Employees who forget their badge: I would like to have them reach out to their managers for entry which will provide the manager to have awareness and accountability between them.
    • Vendors: We will provide a badge to those that enter on a regular basis and anyone visiting will need to meet with the Facilities team for a temp badge or entry into secured spaces. This will put a lot of weight on the team to travel and meet vendors.
    • Visitor check-in: This is in question
    • Courier & Deliveries: This is in question
    • Our security team is onsite but they don't have the bandwidth to manage the front desk

    Ideally it would be great to have a check-in kiosk of some sort but I'm still not clear on what the options are, especially for the various delivery businesses.
